Organising a shared terrace repaint

Several flats may sit behind one portico, yet the repaint still needs a single, understandable instruction. Resolve the scope, decision process and access arrangements together so each household knows what the proposed campaign includes.

Begin with the whole elevation

Lay out a street photograph and mark the intended limits of the work. Include the basement boundary, entrance columns, first-floor balcony and upper cornice where relevant. A continuous frontage can hide changes in ownership or maintenance responsibility. Ask the building's appointed contact to confirm those divisions before using the photograph as the basis of the specification.

Collect decisions through one agreed contact

For a shared freehold company, residents' association or managing agent, identify who can instruct the work and approve changes. Circulate the same proposal to the relevant households, with a clear place for comments and an agreed date for decisions. Check the building's own lease and management arrangements rather than assuming that a neighbour's approval covers the whole instruction.

Decide how the sample will be judged

Place the proposed exterior shade where it can be seen beside the neighbouring finish and in ordinary daylight. Record which group is approving it and whether the decision covers the porch, main wall and balcony as well as the sample patch. Make separate choices for timber and railings where their existing colours or coating requirements differ.

Keep entrances usable during each stage

Set out the route through the portico and the alternative arrangements for any basement entrance. Note gate swings, letterboxes, entry controls and delivery access. For the hall and staircase, describe how protection will be managed around daily movements, including cleaning and waste collection. Confirm the position of stored materials without taking over shared circulation space.

Consider the lower-ground occupier

Work above a lightwell needs coordination with the people below. Record the lower flat's windows and door, the intended protection and how preparation debris will be contained and removed. If a railing section or lightwell wall needs repairs beyond decoration, identify that item before the finish is specified. Keep any uncertainty visible in the scope.

Close the campaign with a building record

At handover, review the marked elevation and common-parts schedule with the authorised contact. Record any outstanding item by location and retain the final colours and product references for subsequent maintenance. If residents arrange separate private-room work, document its handover separately so it does not obscure the shared building's remaining decisions.
